Ticket Terms and Conditions

These Terms and Conditions are between Cannabis Europa,  and the person who completes the relevant booking form (“You”) for the Cannabis Europa event as described in the booking form (“Event”). Cannabis Europa is a trading name of PP Intelligence LTD, Company Number 10857509, 20-22 Wenlock Rd, London, N1 7GU.

Confirmation of bookings

  1. All bookings are subject to availability and acceptance by Cannabis Europa, which will be confirmed in writing (including by e-mail) after Cannabis Europa has received the completed booking form, the related fee if required (the “Fee”), and other relevant information that Cannabis Europa may require.
  2. Upon written confirmation from Cannabis Europa, to You, of the acceptance of your booking for a place at the Event there shall be a legally binding contract between Cannabis Europa and You to which these terms and conditions apply.
  3. Cannabis Europa reserves the right to refuse to accept any booking at its absolute discretion.

Fees

  1. Fees for the Event are correct at the time of publication. Cannabis Europa reserves the right to change the Fees at any time but changes will not affect registrations which have already been confirmed by Cannabis Europa. The Fees (where required) are payable at the same time as You submit your booking form by credit card or cheque. You acknowledge that Cannabis Europa cannot guarantee places held on a provisional basis and that places may sell out.
  2. The Fees include:

          (i) For conference delegates: one place at the Event, refreshments, lunch and Event materials.

          (ii) For awards dinner delegates: one place at the awards dinner and cocktail reception, refreshments, dinner and Event materials.

  1. The Fees do not include travel to or from the Event or any accommodation costs incurred.
  2. Under VAT Excise regulations delegates from all countries are required to pay VAT @ 20% on all Events taking place in the United Kingdom. For Events in other countries, delegates are required to pay any VAT, excise duty or other sales tax which may be applicable.

Changes, Cancellations and Postponements

  1. In certain circumstances it may be necessary for Cannabis Europa to alter the content, format, venue or timing of an Event. All delegates will be notified of such changes prior to the Event.
  2. If You cannot attend an Event for which You have registered, please contact Cannabis Europa as soon as possible (and in any event no later than 24 hours before the Event) at [email protected] Cannabis Europa may at our absolute discretion allow You to send a substitute in your place (provided that Cannabis Europa has received the details of such substitute) or allow You to attend the next available Event.
  3. If You notify us that You wish to cancel your attendance at an Event for which a Fee is payable, then cancellation charges shall apply as follows (please note that refunds may take up to 14 working days to be processed), which You agree represent a genuine pre-estimate of the costs Cannabis Europa will incur as a result of cancellation:

  • More than 30 days prior to the first day of the Event | 25%
  • Within 30 days to the first day of the Event | 100%

The refund will be distributed in the same form as the original payment was received (e.g. credit card payment will refund to the same credit card account number).

  1. Cannabis Europa may in exceptional circumstances need to postpone or cancel an Event, and we will notify You as soon as reasonably practicable of any such postponement or cancellation. If an Event is cancelled, or if an Event is postponed and You cannot attend the rearranged date, we will refund any Fees You have paid in advance within 8 weeks. You agree that Cannabis Europa’s liability to You will be limited to the amount of the Fees You have paid and Cannabis Europa will not be liable to You for any expenditure, damage or loss incurred by You as a result of the cancellation or postponement.
  2. Cannabis Europa reserves the right to cancel your attendance at the Event and retain any Fees received in respect of your proposed Event attendance if You (or any of the shareholders or directors of the legal entity which You represent) become(s) subject to any Sanction, or continuation of these terms would (in the reasonable opinion of Cannabis Europa) expose Cannabis Europa or any of its affiliated companies to any Sanction, where “Sanction” means any sanction, prohibition or restriction under United Nations resolutions or the trade or economic sanctions, laws or regulations of the European Union, United Kingdom, Hong Kong or the United States of America.

Your attendance at the Event

  1. Please advise us of any special access requirements at the time of making your booking.
  2. Cannabis Europa reserves the right, without any liability, to refuse You admission or eject You from the Event for failure to comply with these Terms; or if in Cannabis Europa’s opinion You represent a security risk, nuisance or annoyance to the running of the Event.
  3. You are permitted to make reasonable video or audio recordings and to take photographs at the Event, in each case for your own personal use. You must not make video or audio recordings of the whole (or substantially the whole) of the Event or of any session within the Event, or use any recordings or photographs for commercial purposes, unless expressly permitted by Cannabis Europa.
  4. You acknowledge that the Event or part of it may be filmed by audio, visual, audio-visual or electronic means or photographed, including photographs of individuals or groups of delegates. You agree to permit Cannabis Europa, or any third party licensed by Cannabis Europa, to use and distribute such footage and photographs, which may feature images of You, in all or any media (including social media) whether now known or hereafter to be invented throughout the world in perpetuity for the purposes of advertising, publicity, reporting and otherwise in relation to the exploitation of such recordings and photographs. Please inform the photographer if You do not wish to be included in any individual or group photographs.
  5. You are responsible for arranging your own appropriate insurance cover in connection with your attendance at the Event. To the maximum extent permitted by law, Cannabis Europa shall not be liable for any kind of loss or damage to You or your personal property, unless caused by our negligence.
  6. Materials distributed by or on behalf of Cannabis Europa at an Event may not be reproduced without Cannabis Europa’s permission.

Liability

  1. Views expressed by speakers are their own and Cannabis Europa disclaims all liability for advice given or views expressed during an Event. Materials distributed at an Event are intended for information only and should not be relied upon.
  2. To the maximum extent permitted by law, Cannabis Europa shall not be liable to You for any direct, indirect, economic or consequential loss or any loss of business, use, profit, anticipated profit, contracts, revenues, goodwill or anticipated savings arising in connection with this Agreement, even if You have been advised of the possibility of such loss or damage.

Your details

  1. By submitting registration details, You agree to allow Cannabis Europa to contact you as required for the organisation and administration of the Event. Cannabis Europa will comply with our privacy policy in respect of your registration details and other information we hold about you.
  2. The names, job titles and organisations of all registered delegates will be placed on the delegate list for the Event. This list will be provided to sponsoring companies and to all delegates via an online attendee directory, so that they can see who is at the Event for the purpose of networking and meetings. If You do not wish to be included on this list please email [email protected] at the time of making your booking. Delegates who register for the online attendee directory acknowledge and agree that they shall not, under any circumstances, use the delegate list for their own promotional and marketing purposes.
  3. Cannabis Europa will only contact you for marketing purposes, and will only pass on your contact details to sponsors for marketing purposes, to the extent that you expressly consent to this (for example, by opting in during the registration process).

Other

  1. These terms contain the entire agreement between You and Cannabis Europa.
  2. If any provision of these terms is held to be invalid, illegal or unenforceable for any reason by any court of competent jurisdiction, such provision shall be severed and the remainder of the provisions will continue in full force and effect as if the terms had been executed with the invalid, illegal or unenforceable provision omitted.
  3. Any express or implied waiver to perform any obligations under these terms will not prevent the subsequent enforcement of them.
  4. A person who is not a party to these terms has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of these terms.
  5. These terms shall be governed by English law and You hereby irrevocably submit to the exclusive jurisdiction of the English courts. Nothing in this clause shall limit Cannabis Europa’s right to take proceedings against You in any other court of competent jurisdiction.

  7. These terms and conditions were published on 10 February 2020 and apply to all bookings placed from that date until these terms and conditions are superseded by a new version.

Exhibitors General Terms & Conditions Of Participation

Art. 1 – ORGANIZATION, DATE AND PLACE

Prohibition Partners Holdings hereunder referred to as “Organizer” who organizes from 28th to 29th June 2022 the Cannabis Europa London at the Old Billingsgate in London, United Kingdom

Art. 2 – FAIR ADMISSION

Admission as Exhibitors will be allowed to international companies belonging to the cannabis sector for their production and/or services. The acceptance of the companies will take place according to the chronological order of presentation of the applications until the complete availability of spaces.

Art. 3 – EXHIBITION PARTICIPATION AND/OR SPONSORSHIP

The application to participate and/or sponsor must be forwarded, under penalty of inadmissibility, on the appropriate form duly completed, signed and countersigned and it shall constitute an irrevocable proposal for the applicant and it shall lead to acceptance of these “General Terms and Conditions”, as well as the General Regulation, Forms and Various Attachments and any other norm regarding the organization and functioning of the Fair. The applicant is required to provide any documentation that should be requested to determine the acceptance of the application and to ascertain at any time the compliance with the conditions of participation and/or sponsor- ship of the Fair.

Art. 4 – PARTICIPATION FEE

The participation fee is set at GBP300 per sqm (VAT excluded) for the raw space and GBP4,000 per 9 sqm (VAT excluded) for standard booth and tech counter (exhibition areas details and features are set out in the booth layout). For applications made on or before 1 February 2022, a discount of 10% on the participation fees will be applied.

Art. 5 – REGISTRATION FEE AND DEPOSIT

A deposit equal to 50% of the total participation fee for the required area must be paid upon application submission

Art. 6 – PAYMENT TERMS

The balance of the fees due for the participation and/or sponsorship must be paid by 30 April 2022. Failing this, the Organizer may consider the contract for non-compliance to be terminated, without the need for a warning or a decision of a Court. In this case it shall inform the interested party and the Organizer, being free from any commitment (been able to dispose of the space by assigning it to other applicants), will be entitled to full payment as a penalty of the participation and/or sponsorship fee, as well as any other contractual payment, deducted what already eventually received for these securities and without prejudice to any right to compensation for any major damage.

Art. 7 – OTHER SERVICES

Any additional fitting and/or specific service can be requested by the exhibitor through the Additional Order Forms.

Art. 8 – STAND DISPOSITION

The Organizer reserves the right to modify the disposition and the number of the stands according to organizational/technical needs, without this implying the right of withdrawal by the Exhibitor. Stand allocation must be formalized by the Organizer.

Art. 9 – CANCELLATION POLICY

The exhibitor may withdraw from participation at the fair by informing the Organizer by registered letter with return receipt.

If the notice of cancellation is forwarded by the Exhibitor after booth confirmation is signed, the Exhibitor shall pay the total amount of the exhibition space, registration fee and any additional service. 

Art. 10 – BOOTH SET UP

Assembly and dismantling of the stand SET UP must be in compliance with current regulations on workplace safety and worker protection, respectively the day before and after the event. Further details on timing and methods will be communicated by the Organizer within 30 days before the event. For stands completely set up by the exhibitor with its own material, the measurements shall comply with those previously communicated. All materials used by the exhibitor for the setting up of its own stand shall be flame-retardant and comply with existing rules. Any documentation certifying the building code compliance and the suitability of the materials, needed to grant the waiver by the supervisory bodies, shall be forwarded by the exhibitor to the Organizer no later than 1st  June 2022. In case of non-transmission of such documentation as if it were not considered suitable by the competent authorities, the Exhibitor will not be able to assembly its own structures, without any reduction on the total amount due. Further details on procedures, timing, uses of materials, certifications, are described in the General Terms and Conditions.

Art. 11 – LIABILITY

The Organizer is not liable for damages caused to things or persons by person- nel, exhibitors or visitors who will attend the event. The Organizer is not liable for damages caused to things or persons by installations and facilities provided by Old Billingsgate. For any damage caused by the exhibitor or its staff, the Exhibitor is solely liable.

The Exhibitor shall be responsible for the safekeeping of its stand for the entire period of the fair, including the days of assembly and disassembly.

Art. 12 – SUB-EXHIBITORS

Subletting is forbidden to protect the image of the fair. The Organiser reserves the right the suspend the booth operation should any subletting be found onsite. 

Art. 13 – ADVERTISING

Every form of promotion and advertising made outside its own stand shall be previously authorised by the Organizer.

Art. 14 – EXCEPTIONAL EVENTS

In case of war, riots, popular uprisings, floods, earthquake or other exceptional events and any other cause of force majeure that involves the cancellation of the event the Organizer shall reimburse the amount paid at that time, deducted those amounts related to services already provided and costs already  incurred.

Art. 15 – CLEANING

The Organizer will do at its own expenses the general cleaning of the exhibition pavilion and the passages between stands. The exhibitor is respon- sible for the cleaning of its exhibition space. The garbage or materials left on site by the exhibitor at the end of the event or during the event will be collected by the Organizer in 20-liter garbage bags and a GBP 25 penalty will be applied to the exhibitor for each bag used.

Art. 16 – ELECTRICAL CONNECTIONS

The connection to the electricity grid will be exclusively carried out by the Organizer who will take care of it with specialized personnel or the exhibition centre. Additional supplies can be requested as extra services.

Art. 17 – GENERAL PROVISIONS – APPLICABLE LEGISLATIVE RULES

The Exhibitor to comply with the requirements provided by the Security Authorities and other provisions on fire prevention, accident prevention and supervision on open to the public places issued toward the Organizer.

The Exhibitor and third parties working on its behalf in the exhibition areas shall use paid employed or self-employed personnel, meeting the applicable laws requirements (on social security, insurance, tax etc.).

The Exhibitor shall operate in compliance with the UK laws, as established by the regulations of the Old Billingsgate, the General Regulations and in compliance with the Organizer’s guidelines and fair administrative office. Emissions of sounds, colours and smells are forbidden, if the Organizer judges them irrevocably unsuitable, disturbing visitors and other exhibitors.

Art. 18 – INTELLECTUAL PROPERTY

Both the products and the goods displayed as well as the exhibition spaces which host them, can be photographed, designed or otherwise reproduced without the permission of the Organizer. The Organizer reserves the right to record, reproduce, spread and authorize the shooting, reproduction and dissemination of overall views and internal or external details.

Art. 19 – PRINTED INFORMATION AND MAP

The Organizer reserves the right, without any responsibility for any omissions or mistakes, to share information, contained in the application form and/or sponsorship request, on Exhibitors and their products and/or services displayed, by using means and communication techniques (printed material or other) which it will consider suitable.

Art. 20 – PRIVACY

The Exhibitor allows Prohibition Partners Holdings to proceed, either directly or through the intervention of third parties, to process by any means those personal data resulting by the application and/or sponsorship request and forms on participation and/or sponsorship, in order to pursue its statutory  objectives and any other activity, connected or additional, to encourage the exchange of goods and services. These data may be used, communicated and handed on to third parties, even outside the national territory, for any event connected or resultant from the Fair.

Booth Allocation Policy

Below booth allocation policy is applicable to all exhibitors:

A. Application before booth allocation cut-off date (31 March 2022)
Exhibitors will be allocated a booth location of its respective zone according to the below priority by the Organiser (in ascending order):

1. Booth Area
Exhibitors of larger booth size will have priority over exhibitors with smaller booth size.

2. Booth Option
For exhibitors of the same size, Custom-Built Participation (Raw Space) exhibitors will have priority over exhibitors of Standard Booth/Tech Counters.

3. Participation History
Sponsors of the Cannabis Europa London 2021 will be prioritised.

4. Ballot
Companies of equal status will undergo a balloting to determine their booth allocation sequence.

B. Application after the application deadline
Exhibitors applying after the cut-off date (31 March 2022) will have a lower participation and booth selection/allocation priority than those who applied before cut-off date. Their booth selection/allocation sequence in the respective theme zone will be solely according to the date and time when the Organiser receives the application form.

Important Notes:

  • A confirmation letter will be issued after booth allocation. No refund will be made to the exhibitor after the confirmation letter is issued.
  • The Organiser reserves the right to decline any application should the applicants are not eligible to exhibit at the Exhibition pursuant to the Terms of Application and Exhibition Rules & Regulations. An exhibitor’s application is not considered to be successful even the full payment of the participation fee is received by the Organiser, unless any official documents is issued by the Organiser for confirming the application.
  • All booth size / location requests are subject to space availability and Organiser’s discretion.
  • The Organiser reserves the right to relocate any exhibitors if it changes its booth size or/and booth option after its booth selected/allocated.
